Ast, you should use RPOL and have players sign up. That way you have all the information in one place and readily available. You can also set up groups and place down information for the players.

I used RPOL for my roll20 game so my players (and I) can see what party equipment the party has, how much XP, etc.

Some kind of backup is definitely needed. Viladin likes RPOL, I subscribe to EpicWords, there's Obsidian Portal too. Or make your own bbs. Assuming all the groups get off the ground, you'll need those kinds of tools to keep everything organized.
